The training program template
Seven modules covering the formats that actually run a business. Run the full set during onboarding, then use the coaching and refresher modules through the year.
| Module | Audience | Duration | What it must cover |
|---|---|---|---|
| 1. Email that gets a reply | All staff | 20 min | Subject lines, one ask per email, clear structure, and knowing when not to send at all. |
| 2. Reports and updates | All staff | 25 min | Leading with the conclusion, structure, and writing an update people can act on. |
| 3. Executive summaries | Managers, leads | 25 min | The one-page summary, bottom line up front, and writing for a decision rather than a record. |
| 4. Running meetings | All staff | 20 min | Agendas, decisions and actions, and keeping a meeting worth the time it takes. |
| 5. Cross-functional communication | All staff | 25 min | Translating across functions, dropping the jargon, and aligning on a shared goal. |
| 6. Tone and professionalism | All staff | 20 min | Matching tone to context, handling difficult messages, and staying clear under pressure. |
| 7. Refresher and practice | All staff | 20 min | A rewritten real document, a live review, and a short knowledge check for evidence. |
Delivering the rewrite exercises and knowledge check through an LMS gives you dated completion per person and per cohort, so a manager can see who can write for a decision before the board update, not after it lands flat.
The practice-readiness checklist
Ten steps to get a cohort from workshop to consistent practice. Tick items to track your own progress, it stays in this browser. The download has the same list with an owner column.
- One clear ask per email, subject line includedEmailDuring ramp
- Reports lead with the conclusion, not the backstoryReportsOngoing
- Executive summaries fit one page, bottom line firstSummariesOngoing
- Meetings have an agenda and end with actionsMeetingsOngoing
- Jargon translated for a cross-functional audienceCross-functionalOngoing
- Tone matched to the context and the readerToneDuring ramp
- Difficult messages written clearly, not buriedToneOngoing
- A real document rewritten against the rubricCoachingMonthly
- Refresher and knowledge check completedGovernanceAnnual
- Proficiency tracked by cohort, not just attendanceGovernanceOngoing
The most common gap is the executive summary. A cohort that writes fine emails but buries the decision in a three-page report will still stall approvals, and attendance numbers will hide it.
Team proficiency at a glance
The checklist tells you what a cohort is missing. This matrix tells you which cohorts can actually communicate for the business. Score each cohort on the five formats that carry the most weight. In Excel the proficiency and gaps calculate as you type.
| Cohort | People | Reports | Summaries | Meetings | Tone | Ready | |
|---|---|---|---|---|---|---|---|
| Enablement / comms | 18 | 2 | 2 | 2 | 2 | 2 | 100% |
| Product | 60 | 2 | 1 | 2 | 1 | 1 | 70% |
| Sales | 120 | 2 | 2 | 1 | 1 | 2 | 80% |
| Engineering | 180 | 1 | 1 | 1 | 0 | 1 | 40% |
| New managers | 24 | 1 | 1 | 0 | 1 | 1 | 40% |
| Coverage at required | 60% | 40% | 40% | 20% | 40% | 66% |
New managers are the exposure here: a gap on executive summaries means their teams' work reaches leadership as noise, and good work goes unfunded because it was never framed for a decision.
The coaching and practice calendar
| Timing | Action | Owner |
|---|---|---|
| Week one of onboarding | Modules 1 to 3, with email, reports and summaries practised on real work. | L&D |
| Weeks two to four | Role-play running a meeting and cross-functional translation, scored against the rubric. | Manager |
| Monthly | Rewrite one real document as a cohort and review completion by cohort. | Manager |
| For a new role or team | Refresher module and a re-scored writing exercise. | L&D |
| Quarterly | Cross-team practice on executive summaries and decision memos. | Enablement |
| After a stalled decision or rework | Targeted micro-coaching on the specific weak format, fast. | Manager |
How to run it
- Set the standard for each format
Agree what a good email, report, summary and meeting look like here before you train, so there is a rubric to practise against.
- Teach bottom line up front
Lead with the conclusion or the ask, then support it. Practise it on real emails and reports.
- Fix the meeting habit
Agenda, decisions and actions. Drill running a meeting people leave knowing what happens next.
- Practise cross-functional translation
Strip the jargon and frame the message in the reader's terms. Rehearse it across functions.
- Score communication by cohort
Rate each cohort on email, reports, summaries, meetings and tone, so weak formats have a name.
- Review and coach monthly
Rewritten real documents, completion by cohort, and one format to improve before the next session.
Disprz customers see up to 8X training ROI, the kind of return that shows up when clearer reports and tighter meetings stop taxing every team downstream.
Common mistakes this pack prevents
- Training generic communication while the formats that run the business (email, reports, meetings) go unpractised.
- Reports and updates that bury the decision, so approvals stall and work waits.
- Meetings with no agenda and no actions, taxing everyone who attends.
- Jargon-heavy cross-functional messages that misalign teams instead of aligning them.
- No dated records of who practised, so a recurring rework problem has no coaching trail behind it.
