The training program template
Seven modules covering the behaviours that decide whether a message lands. Run the full set during onboarding, then use the coaching and refresher modules through the year.
| Module | Audience | Duration | What it must cover |
|---|---|---|---|
| 1. Message clarity and structure | All staff | 25 min | One core message before detail, getting to the point, and structuring so people can act. |
| 2. Active listening | All staff | 20 min | Listening to understand, paraphrasing and questioning, instead of planning your reply while others talk. |
| 3. Written versus verbal | All staff | 25 min | Choosing the channel, when to write and when to talk, and matching the medium to the message. |
| 4. Audience adaptation | All staff | 20 min | Reading the audience and adjusting detail and tone for a peer, a manager or a customer. |
| 5. Nonverbal and tone | All staff | 20 min | How body language, tone of voice and delivery change meaning, in person and on video. |
| 6. Feedback and clarifying | Managers, leads | 30 min | Checking for understanding, giving clear direction, and closing the loop so nothing is assumed. |
| 7. Refresher and practice | All staff | 20 min | A recorded scenario, a live clarity exercise, and a short knowledge check for evidence. |
Delivering the practice scenarios and knowledge check through an LMS gives you dated completion per person and per cohort, so a manager can see who has practised before a critical handoff, not after it goes wrong.
The practice-readiness checklist
Ten steps to get a cohort from workshop to consistent practice. Tick items to track your own progress, it stays in this browser. The download has the same list with an owner column.

The most common gap is listening. A cohort that scores well on speaking but poorly on listening will still miss the point in half its conversations, and attendance numbers will hide it.
Team proficiency at a glance
The checklist tells you what a cohort is missing. This matrix tells you which cohorts can actually communicate. Score each cohort on the five behaviours that carry the most weight. In Excel the proficiency and gaps calculate as you type.
| Cohort | People | Clarity | Listening | Channel | Audience | Feedback | Ready |
|---|---|---|---|---|---|---|---|
| Onboarding cohort | 40 | 2 | 2 | 2 | 2 | 2 | 100% |
| Sales | 120 | 2 | 1 | 1 | 2 | 1 | 70% |
| Support | 90 | 2 | 2 | 1 | 1 | 1 | 70% |
| Engineering | 180 | 1 | 1 | 2 | 0 | 1 | 50% |
| New managers | 24 | 1 | 1 | 1 | 1 | 0 | 40% |
| Coverage at required | 60% | 40% | 40% | 40% | 20% | 66% |
Engineering is the exposure here: strong on channel but a gap on adapting to the audience means technical updates land badly with the very stakeholders who fund the work.
The coaching and practice calendar
| Timing | Action | Owner |
|---|---|---|
| Week one of onboarding | Modules 1 to 3, with message structure and listening practised in real tasks. | L&D |
| Weeks two to four | Role-play audience adaptation and clarifying, scored against the rubric. | Manager |
| Monthly | Review a recorded scenario and completion by cohort, then set one behaviour to improve. | Manager |
| For a new role or team | Refresher module and a re-scored live exercise. | L&D |
| Quarterly | Cross-team practice on written updates and meeting clarity. | Enablement |
| After a breakdown or missed handoff | Targeted micro-coaching on the specific weak behaviour, fast. | Manager |
How to run it
- Define what good communication looks like here
Teams cannot practise a standard nobody set. Agree the behaviours (clarity, listening, audience) before you train.
- Teach message structure first
One core message, then the support. Practise getting to the point before adding detail.
- Drill active listening
Paraphrasing, questioning and confirming beat waiting for your turn to talk. Role-play it in real scenarios.
- Practise adapting to the audience
The same update lands differently for a peer, a manager and a customer. Rehearse the shift in tone and detail.
- Score communication by cohort
Rate each cohort on clarity, listening, channel, audience and feedback, so weak spots have a name.
- Review and coach monthly
Recorded scenarios, completion by cohort, and one behaviour to improve before the next session.
Disprz drives up to 50 percent gains in productivity and engagement, the kind of lift that shows up when teams communicate clearly instead of reworking every misunderstood handoff.
Common mistakes this pack prevents
- A one-off workshop and nothing else, so the new habits fade within weeks.
- Training only speaking and presenting, while listening (where most breakdowns start) goes unpractised.
- Treating communication as a personality trait instead of a skill that can be scored and coached.
- An attendance number that hides a whole cohort that never changed its behaviour.
- No dated records of who practised, so a recurring breakdown has no coaching trail behind it.
